By the way, the system did not take me back to the "apply for membership" page I was on. It just logged me in and took me to my list of groups.

This happens from the "one-shot" login (sans password) from the invite and/or join, and now this. I'm like, What? I'm logged in? I didn't even enter a password. I've added a link in that error message to the log in page. Once you log in, either via email address/password, emailed log in link, Facebook or Google, you get redirected to the join page.

Well, I'm going to complain some more.;) I would prefer a "reset password" or "forgot your password?" link. Instead, the "link to login" ACTUALLY LOGGED ME IN. I still have no idea what my password is, and the link did not give me an option to reset it. Instead I was taken directly to my Groups.io home page. I did not log in (myself), I did not pass go, only collected $200. LOL.

Thanks, I am aware of that feature, but unfortunately it's not an option for the problem(s) the presented idea should solve, with following goals/guidelines for the administration of the group in mind:

  1. Reduce administrative effort
  2. Minimize risk of errors in subscription process (which result in excluded/uninformed/unhappy members)
  3. Don't pamper members, "empower" them with self-management
  4. Make it fast, easy to access and interact with — keep it small and simple

Cannot think of the fifth point right now, might not have had any to start with.

Please check your email inbox for "Your pending membership..." from @GIO to see, if you need to answer an additional question!

What you can already do in the meantime:'

The wording needs some polishing, of course, but this should make it clearer, hopefully less confusing? Somehow, it still think there are of at least one too many steps/pages/clicks in the join flow.

Thanks, Mark and Shal et al. Its not easy to follow all written suggestions/proposals and so maybe I've missed something. I understand the concepts "confirmation of email address" vs "approval of pending subscription/membership" —or at least, I hope so. But will the users?

So, testing the new flow for a restricted group (with some sort of extra verification):

Participating in this little play, we have:
USER – wants to join a certain (restricted membership) group
/GIO – outputs from groups.io website
@GIO – outputs from groups.io email
MODS – moderator(s)

USER goes to /GIO groupsite, "apply for membership".
[...]
@GIO to USER #1: "Confirm Your Groups.io Account"
@GIO to USER #2: "Your pending membership in the GROUPNAME group"
USER clicks link in email #1 from @GIO, because that's all he is focused on, no time for reading the whole email.
/GIO: "Your Account Has Been Confirmed! Here are your next steps."

Now, IMHO, there are some problems with that:

USER thinks: Yeah… confirmed… that was easy. I'm in, right? Now where is the group? Or will I just receive emails from now on?
USER thinks: So, let see, what does it say here?
/GIO: "Set Up Your Profile"
USER: Meeh, later, maybe. This should not be required, right?
/GIO: "Find Groups"
USER: Hmm, I was already on the groups site, where I did something, so…?
/GIO: "Create Your Own Groups"
USER: Naah, that's not what I want. Now, where is my group? I'm in, right? It must me somewhere.
USER: So maybe I click "find groups"?

Well, they won't find it. It's not listed. For good or worse reasons. And they have not been approved yet anyways.

Do you remember @GIO to USER #2? Well, USER doesn't at this point or he totally missed it alltogether. There was no clue on /GIO either, that membership is pending and maybe a second reply has to be send:

In the email #2 @GIO to USER, an invite-code/keyphrase/whatever is requested, that should be send to +owner to verify user's legitimization to join group — see suggestions starting from https://groups.io/g/beta/message/5324 for how this could be solved more elegantly from both a user's and mods' perspective.

Also, at this point:
@GIO to MODS: "Subscription Approval Needed …"
USER's email address is still waiting for approval. But as assumed above, USER is not (fully) aware of that fact.

Finally, USER sees @GIO#2 and replies to +owner with invite-code.

Now MODS either switch between emails in their inbox — to confirm legitimization and approve membership, OR:

for MODS in /GIO: "MEMBERS (1)"
Click#1- That's okay. But now, the "pending approval"-tab doesn't indicate, that this is where the (1) new member waiting for approval is hidden. It should do so likewise. Click#2. To look for incoming messages (no indication), click#3 on pending member. click#4 on "+owner Messages" (no indication). click#5: Ha, here is the USER's reply. And it seems to be correct. But where to approve? Noooo! Click#6: Back to "Membership", click#7, finally: "Approve pending sub"
MODS: Yeah, I did it! – only 7 clicks to approve one (1!) member! (Not counting mis-clicks.)

Well, at last: @GIO welcomes USER to "easy to use email group service"...

However the current, newly improved join flow as tested in restricted groups — and not only in my extended scenario, where you want extra verification of joining members with an invite-code — still feels somewhat overly complicated for both USERs and MODS. How to fix it? Maybe clearer wording, certainly less pages/clicks.

My wild guess is that the system recognized the email address as one with an account (albeit not logged in) and was refusing to send the confirmation email, instead wanting me to log in. However, it didn't tell me that (or anything) - it just seemed to be indicating some sort of error and gave no information.

The box came back empty and circled in red, with no message or explanation, and I got no confirmation email at the address. I tried it twice.   ????

That means as far as we know the messages are being delivered. You can configure AOL to put spam in the spam folder or to delete it immediately. If AOL is thinking these messages are spam and she has it configured to delete all spam immediately, she'd never see the messages. I'd ask her to check her configuration.
