Owner's Manual: Include section on 'Allow Parent Members to Post' in Message Policies #suggestion

Andy Wedge

Hi Nina,

I can't see a reference in the Message Policy Settings section of the Owner's Manual about the option to Allow Parent Members to Post:which has been around since 2019. Can we include some details please?

Andy

Re: Owner manual Extra Member Data clarifications #suggestion

Hi Nina,

I really like the Location: <path> style like this right under the section header, I think it should become a standard to all (applicable) sections, not just the settings part, like what we're doing on the site pages with the location/path breadcrumb bar.  Being right up there lets the user know right away where this bit is located before they start reading the rest of the help text.

Cheers,
Christos

Thanks!

Oops, sorry about that link error. I corrected it.

I added a Sending special notices topic to the Owners Manual. It's the last subtopic under Managing group topics and messages.

Thanks for the feedback!

Hi, Frances. I added "Member badges" and "Topic icons" to the Glossary, each with a link to the Member badges and topic icons topic in the Owners Manual.

Thank you for the suggestion!

Owner manual Extra Member Data clarifications #suggestion

Hi Nina,

There's a couple of items regarding Extra Member Data in the owner's manual.

First, in the Setting default email options and user settings for group members section, the second note says:

(Premium and Enterprise groups only) In the Extra Member Data panel: You can add custom fields to be displayed in the member list and, optionally, on members’ profile pages.
Note: This panel does not appear in subgroups.

The bolded part is no longer true as EMD can now be set in subgroups.

In the Extra Member Data panel (Premium and Enterprise only) section, there is no mention of where this EMD panel is located or how to get there, see the beta message which brought this up.

Cheers,
Christos

On this page - https://groups.io/helpcenter/ownersmanual/1/inviting-people-to-join-a-group/sending-invitations-to-join-the-group

The first paragraph - In the left navigation menu on the group’s website, select Admin > Invite. The Invite page appears. If you have created an Invite notice for the group and set it to be the Active Message, the text of that notice appears in the Customize Message panel.

The hyperlink for Invite notice is wrong - it goes to Group Sponsorship Notice, rather than Invite Notice.

Should be

That is not correct. This is a logging and display bug, or issue. The messages themselves don't go out as special, although they are logged as having been and although they have the Special tag in the archive. This can be easily confirmed by setting a test member to special-notices-only and seeing that the member does not receive non-mod replies to the topic.

Maybe, although the Owner's manual already states that only owners/mods can send special messages.

If someone added the Hashtag with "Special" checked to a topic, would that turn it into a Special Notice?
I've done some additional test and it's possible to effectively turn a topic into a 'special topic' (for want of better words) by adding a hashtag with the Special attribute or by setting the Special attribute on an existing topic hashtag . What's more, ordinary members then replying to a message in that topic get their messages sent out a Special. If these messages are held for moderation, the Special attribute is not shown. This is then contrary to the statement in the manual that says only owners/mods can send special messages.  I'd class that as a bug so I'll raise this on Beta.

I'm not sure what unknown relationship you are referring to. As you said, only mods/owners can send special messages. If a member tries to send a message via the website and uses a hashtag that has the Special attribute set, they see the error message 'Only moderators can use that hashtag'.. ...

That's interesting.  You can set up a Hashtag with "Special" but not "Use by Mods Only".  So I guess that using "Special" invokes a "Use by Mods Only" override even though it is not explicitly enabled, right?  That would be a good thing to note in the Owners Manual too.

Are you talking about some other relationship?

Somewhat.  Maybe.  If someone added the Hashtag with "Special" checked to a topic, would that turn it into a Special Notice?  If a topic already has that Hashtag, would all replies to the message also be sent as Special Notices, or only the first message in the topic?

Please resend your message without the restricted hashtag.'

Are you talking about some other relationship?

How to send a Special Notice #suggestion

In the Beta group (https://beta.groups.io/g/main/message/33845), it's been pointed out that the Owners Manual documentation does not actually say how to send a Special Notice.

The requester was also hoping for there to be a link to the (future) description from the manual's Table of Contents.

I think that Special Notices can only be sent as new topics, not as replies.  And of course only by owners/moderators.  (And there is a yet unknown relationship with Hashtags that have the Special property checked.)

Add to Glossary: Member badges and topic icons #suggestion

Frances

Hi Nina,

This useful info is a bit hard to find - all the way at the bottom in Additional Information. Same in Members manual in Help.

https://groups.io/helpcenter/ownersmanual/1/additional-information/member-badges-and-topic-icons

https://groups.io/helpcenter/membersmanual/1/additional-information/member-badges-and-topic-icons

It would be useful if the page was listed and linked in the Glossary - https://groups.io/helpcenter/glossary

Cheers,

Frances

Re: "participants only" hashtag setting - any documentation? #misc

It was a docs question. Right, it's "Reply to topic followers only," which is documented. I had a hashtag set to that but the tag name was "ParticipantsOnly."
Sorry to bother you. Please don't tell me to post in GMF or Groups_Help. I don't participate in either of those groups, for various reasons.
Thanks.

documentation on the "participants only" hashtag setting
I've never heard of such a setting.  The closest I could find was the Reply To setting using "Reply to topic followers only".

BTW, I'm not clear why this is on the beta group.  It would be more appropriately handled on GMF or Group_Help.

"participants only" hashtag setting - any documentation? #misc

I couldn't find any documentation on the "participants only" hashtag setting. If nonexistent, could it be added? If it exists, then can someone point me to it?
Thanks.

Hi, Frances. In Working with files > Uploading files and folders > the note after step 4, I added the situation where the folder’s owner does not allow other members to upload files to the folder.

Re: Responding to an invitation to join a group but no Groups.io account #suggestion

Hi, Frances. In Joining groups > Responding to an invitation to join a group, I added a note about receiving a “Confirm your subscription” email if you do not already have a Groups.io account, and in Joining groups > Responding to a “Confirm your subscription” message from Groups.io, I added a bullet about not having a Groups.io account when accepting an invitation to join a group.

Thank you for the feedback!

Re: Clarification in Moderator settings

Hi, Duane. In Managing moderators and additional owners > Making a member an owner or moderator > step 3 > Permission options column, I added the Add Members option for subgroups and added notes about where the Invite Members and Add Members options appear.

Thank you for the feedback, and apologies for the delayed response.

In section 12.2 of the Owners Manual, for "Invite Members Note: This option does not appear in subgroups." I think there needs to be some additional wording or an additional line.  In a subgroup, there is instead an option for Add Members that allows the mod to add members from the main group and/or Invite members directly to the subgroup.
